Producer and supplier of cooling and freezing solutions Veld Koeltechniek chooses a best of breed solution with Sigmax and ORTEC. “With this combination, we have found optimal support for our work processes. Veld Koeltechniek has been delivering refrigeration technology solutions for over 60 years. The company imports, modifies, produces and supplies cooling and freezing systems for sectors such as hospitality, food retail and cold storage facilities. With a team of 80 field service technicians, Veld Koeltechniek installs, inspects and maintains professional refrigeration systems. To further optimise its field service processes, the company from Groenlo started searching for suitable field service software.

Total solution in need of replacement

Veld Koeltechniek’s field staff previously worked with an all-in-one system for both planning and mobile work order processing. ICT and Business Applications Manager Kees Kuiperije explains: “Previously, our technicians had to follow the same standard workflow on their laptops, regardless of whether it concerned a breakdown or planned maintenance. As a result, they often spent more time on administration than on actually solving the issue.”

The system also fell short when it came to planning. “It was slow and required a relatively high level of maintenance. Planning was often based on gut feeling, which is far from ideal when dealing with ad hoc jobs,” Kuiperije adds.

User groups

To optimise planning and mobile work order processing, Veld Koeltechniek initiated a trial using ORTEC’s planning optimisation software and Sigmax’s mobile application. “During the trial, we set up two user groups: one focused on planning and one on the mobile application. It quickly became clear that the two solutions integrate seamlessly and significantly accelerate and improve our processes,” says Kuiperije.

Optimal deployment of field staff

With ORTEC for Field Service, technicians are scheduled in the most efficient way possible. The planning software calculates optimal routes and travel times while taking service level agreements, skills and working hours into account. “This allows us to serve more customers with the same number of technicians. Combined with efficiencies in mobile processing, technicians can increase from four to six jobs per day,” says Kuiperije. “When a breakdown occurs, our planner can immediately see which technician is closest, enabling faster response times. This results in more clarity, less stress and better communication with customers.”

Specific workflows

With Connect, Sigmax’s mobile field service software, the administrative workload for technicians has been significantly reduced. “The biggest advantage is the time saved, because workflows are configured specifically per job type. This ensures technicians follow a clear process and capture all essential information. The flexibility to configure different workflows is a major benefit for us,” explains Kuiperije.

Connect also enables technicians to work with multiple assets within a single job.
“With our previous system, technicians had to complete and sign off each cooling unit separately. With Connect, multiple units can be handled within one job and the customer only needs to sign once. This saves a considerable amount of time,” Kuiperije adds.
